Summary:
The Administrative Assistant serves as the first point of contact for all visitors to the parish office. Responsible for facilitating the efficient operation of the assigned department by performing a variety of clerical and administrative tasks.
Position Responsibilities:
- Welcome and greet visitors; provide a warm and helpful presence; answer and route phone calls appropriately, screening when necessary
- Maintain parish family directory; issue welcome letters and token gifts to new parishioners and donors
- Retrieve information as requested from records, email, minutes, and other related documents; prepare written summaries of data when needed
- Handle Mass Intentions by scheduling the date, handling donation and adding to the bulletin
- Receive money from parish ministries for deposit; handle cash, check and credit payment transactions and provide receipts
- Coordinate logistics of staff events (team building, luncheon, yearly retreat)
- Set up leadership meetings (pastoral & finance council, safety & building committee, etc)
- Maintains parish calendar of events; point of contract for facilities scheduling; coordinate Sunday church foyer activities (fundraisers, event registrations, etc)
- Maintains office supplies and coordinates maintenance of office equipment
- Assist with social media tasks, including content creation, scheduling posts and monitoring messages on parish social media platforms
- Assist in the coordination of parish fundraisers (festival, bingos, raffles, etc)
- Assist Business Manager with the implementation of Archdiocesan Projects and Safe Environment regulations.
- Serve as editor for weekly parish bulletin, flocknote messages and social media
- Edit and publish campus information boards, screens and marquee
- Donor management; ensure all donations are accurately credited to donors; complete thank you letters and tax return letters
- Performs other duties as assigned.
Requirements
Minimum Qualifications:
Education:
- High school Diploma or equivalent
- Associate’s degree preferred
Experience:
- At least four (4) years’ experience of working in an administrative role providing direct support
- Bilingual in Spanish and English
License and Credentials:
- Reliable transportation
- Valid driver license
- Valid vehicle insurance
Minimum Knowledge and Skills:
- Experience with computer software and Microsoft Office Applications;
- Must be detail oriented, organized, self-motivated, work well independently and on a team;
- Must have good written and verbal skills;
- Must have good critical thinking and problem-solving skills;
- Proficiency with Canva, preferred.
