Executive Assistant at Philips Personal Health
Provide high-level executive and organizational support to the Head of Integrated Supply Chain at Philips Personal Health. You will play a critical role in managing complex operational, administrative and strategic activities within a dynamic, international environment, collaborating with a diverse range of people, cultures and stakeholders across the organization.
As a trusted partner, you will act with professionalism, discretion and autonomy to ensure smooth operations and alignment with business priorities, while fostering a continuous improvement mindset that drives efficiency, operational excellence and effective decision-making.
Your role:
- Supports Personal Health Head of Integrated Supply Chain / Chief Operations Offices with relatively complex tasks and projects by assisting in administrative, organizational and operational matters as needed and by staying knowledgeable of corporate policies, exercising autonomy within established procedures.
- Handles incoming and outgoing correspondence, including emails, letters and phone calls for Executive(s) while ensuring prioritization to ensure an organized and efficient communication flow and acts as a gatekeeper, handling sensitive or confidential information with discretion.
- Prepares complex draft letters, emails, office documents including meetings agendas, minutes and follow-up action items, and high impact PowerPoint presentations that align with the Executive(s)’ strategic objectives.
- Maintains Executive(s)’ calendar, coordinating complex scheduling needs, ensuring alignment with key business priorities, and proactively identifying potential conflicts and handles high-priority meetings with global stakeholders and ensures that the Executive(s) remain informed on key timelines and milestones.
- Maintains and organizes records, files, and documents, both electronic and paper-based, for Executive(s).
- Coordinates travel arrangements for Executive(s), including visa applications and booking flights, accommodations and transportation, while adhering to organization policies and budget constraints, and prepares detailed itineraries and contingency plans.
- Organizes high profile events, workshops, and conferences, as required by the Executive(s) including preparing necessary materials, ensuring technical setup, overseeing all logistical elements, liaising with senior stakeholder etc. to ensure that all aspects of the event are well-managed and meet participant expectations.
- Processes expense reports by collecting, reviewing, and verifying receipts and documentation to ensure accuracy and compliance with organization policies and procedures and assists in managing budgets (including travel expenses) and providing financial insights to optimize spending as directed by the Executive(s).
- Communicates local announcements and important updates in a clear, concise and accurate way to and from Executive(s) within the department and organization employing a variety of channels such as emails, intranet posts, meetings, and instant messaging platforms for effective reach and supports in managing crisis communication to ensure that all stakeholders are kept informed.
- Identifies opportunities for operational improvements within the Executive office, proposing and implementing changes to enhance efficiency and productivity.
- Actively supports Executive in interaction with critical stakeholders and direct reports, representing the aligned priorities and the ISC agenda withing Personal Health and Philips.
- Supports the identification of mis-alignments and inconsistencies to enable continuous improvement and speed of decision making.
You're the right fit if you have the following skills and experience:
- You hold a Bachelor’s degree or equivalent education, preferably in business administration or a related discipline.
- You have at least 5 years of experience as an executive assistant or similar role in an international, matrixed organization.
- You demonstrate exceptional organizational skills, the ability to anticipate needs and a strong sense of ownership.
- You are proactive, resourceful and discreet, capable of handling highly confidential information.
- You possess excellent communication skills in English (both written and spoken).
- Proficiency in Dutch is an advantage.
- You are proficient in Microsoft Office 365 and collaboration tools (Outlook, Teams, PowerPoint, Excel, SharePoint).
- You are flexible, customer-focused, and thrive in a dynamic, fast-paced environment.

Compensation & Benefits
Doing meaningful work should come with fair, transparent rewards. The base salary range for this role is €45,396.00 – €75,660.00. We determine pay within the range using objective factors, like the skills the role requires, your relevant experience and the responsibility you'll have in this role, alongside internal equity and local market considerations. This role is eligible for 3% bonus/incentive, with your rewards linked to KPIs/company results. We’ll share the full approach with you during the interview process, so you can make a clear, informed decision.
