Position Description:

The University of Louisville Office of Medical Student Affairs is seeking a Program Manager II who is responsible for developing and managing programs that both foster and celebrate the success for all School of Medicine students. This position will oversee all co-curricular programing at the medical school including, but not limited to, the Advisory College program, School of Medicine Graduation, White Coat Ceremony, Fall Honors Convocation, Senior Honors Convocation, and all M1 orientation events.

This position will identify students eligible for honors and awards such as Gold Humanism Honor Society, Alpha Omega Alpha Medical Honor Society and American Medical Association awards, and work with the Senior Associate Dean for Student affairs to mentor and nominate them.

This position will report to and work with the Director of Medical Student Affairs and the Senior Associate Dean for Student Affairs to plan and carry out all functions to ensure the School of Medicine continues to support the success of our students.

Essential Duties and Responsibilities

  • Provide strategic oversight and operational management of the Advisory Dean College Program, a flagship longitudinal advising model that supports medical students from matriculation through graduation. Lead the recruitment, onboarding, professional development, and continuous engagement of 24 Advisory Deans—faculty leaders representing diverse clinical departments across the School of Medicine. Ensure high‑impact advising by maintaining current training, evolving resources, and data‑informed practices that enhance student progression, milestone achievement, and overall academic success.

  • Design, manage, and execute all components of the School of Medicine’s Commencement ceremonies, including program development, venue selection and logistics, platform party and speaker recruitment, audiovisual and technology coordination, and comprehensive communication plans for internal and external stakeholders.

  • Lead end‑to‑end planning for the School of Medicine White Coat Ceremony, ensuring a meaningful and mission‑aligned experience through faculty engagement, event programming, technology integration, and stakeholder communication.

  • Evaluate institutional needs and develop new initiatives that elevate student achievement and enhance the student experience. Direct planning and execution of the School of Medicine’s Fall for and Senior Honors Convocations, ensuring alignment with institutional values, excellence, and student success metrics.

  • Develop and implement holistic wellness programming for the School of Medicine, advancing institutional well‑being priorities and creating collaborative, interprofessional wellness initiatives across Health Sciences schools.

  • Serve as Chair of the M1 Orientation Committee, providing comprehensive oversight for all required School of Medicine orientation programming, including academic sessions, compliance trainings, community‑building events, and evening social activities. Ensure an inclusive, engaging, and well‑coordinated transition experience for entering students.

  • Serve as Chair of the Prizes and Awards Committee, overseeing equitable review processes and high‑visibility recognition of student excellence.

  • Oversee all social media and digital communication platforms for the Office of Medical Student Affairs, amplifying student accomplishments, promoting wellness and advising initiatives, and enhancing visibility of Student Affairs programming.

  • Identify, advise, and provide individualized guidance to students eligible for nomination to local and national medical honor societies, including but not limited to Alpha Omega Alpha (AOA) and the Gold Humanism Honor Society (GHHS).

  • Perform other related duties as assigned to support the mission, vision, and strategic priorities of the School of Medicine and the Office of Medical Student Affairs.

Preferred Qualifications

  • Bachelor's degree along with 2-4 experience in programming in higher education and/or a professional school setting.

  • Strong commitment to customer service and passion for working with medical students.

  • Demonstrate the ability to lead new initiatives, work closely with others and maintain collegiality; work independently and autonomously with minimal direction; be detail-oriented; have strong organizational skills; and a desire to work closely with medical students.

  • Proficient in Microsoft Suite and Social Media Platforms.

  • Effective oral, written, and interpersonal communication skills.

  • Presentation/public speaking skills.

  • Preferred work experience in Student Services field. Experience within a university department or another student-centered industry may be considered.

  • Proficient in CardMed and RedMed.

Compensation will be commensurate to candidate experience.
