Job Profile
The Human Resources Systems & Reporting Specialist is responsible for the administration, maintenance, optimization, and reporting of Human Resources systems and data. Acting as the primary liaison between Human Resources and Information Technology (IT), this role supports system enhancements, upgrades, integrations, and issue resolution while ensuring data integrity, security, and compliance. The incumbent provides workforce reporting and analytics, manages system access and security roles, and supports continuous improvement initiatives that enhance HR processes and user experience.
What You Bring
Education
- Bachelor's degree in Human Resources, Business Administration, Information Systems, Data Analytics, or a related field.
- CHRP designation considered an asset.
Experience
- 3 to 5+ years of experience in HRIS administration, HR systems, reporting, analytics, or HR operations.
- Experience administering or supporting HR platforms. Specific experience with SAP SuccessFactors, HiBob, Lever, Docebo considered an asset.
- Experience managing user security roles, system access, and audit controls.
- Experience partnering with IT teams on system enhancements, upgrades, and integrations HRIS, ATS, LMS, payroll, and other enterprise applications.
- Experience in an HR Operations role as a system user, managing employee lifecycle events considered a strong asset
Skills and Competencies
- Strong understanding of HR processes, HR data structures, and workforce metrics.
- Advanced Excel and reporting skills; experience with Power BI, Tableau, or similar analytics tools preferred.
- Knowledge of role-based security administration and access governance principles.

A Day In The Life
HR Systems Administration
- Serve as the primary subject matter expert for the Human Resources Information System (HRIS) and related HR technology platforms, including the Applicant Tracking System (ATS), Learning Management System (LMS), performance management, and employee engagement systems.
- Maintain system configurations, workflows, business processes, and system documentation.
- Monitor system performance and coordinate resolution of technical issues with IT, vendors, and external partners.
- Evaluate new system features and support system upgrades, patches, testing activities, and implementation of new functionality.
- Identify opportunities to improve and automate HR processes through technology solutions.
- Develop and maintain user documentation, training materials, and standard operating procedures. Conduct user training.
HR and IT Partnership
- Act as the primary liaison between HR and IT for HR system initiatives, implementations, integrations and enhancements.
- Gather business requirements and translate them into functional specifications and system solutions.
- Coordinate user acceptance testing (UAT), validation activities, and issue tracking.
Reporting and Analytics
- Develop, maintain, and automate standard and ad hoc HR reports, dashboards, and workforce metrics.
- Develop and maintain dashboards and metrics utilizing ATS and LMS data.
- Ensure the accuracy, integrity, and consistency of data used for reporting and analysis.
Security Administration and System Access
- Administer HR system security roles, permissions, and access controls in accordance with organizational policies and governance processes.
- Partner with IT and business stakeholders to design, test, and maintain role-based security structures.
- Monitor and investigate access-related issues and recommend corrective actions as required.
- Maintain documentation related to security roles, user access procedures, and audit requirements.
Data Governance and Compliance
- Ensure HR data accuracy through regular audits, validation processes, and data quality reviews.
- Maintain HR data governance standards and procedures.
- Support internal and external audit activities related to HR systems, data, and security access.
- Ensure compliance with applicable privacy legislation, organizational policies, and regulatory requirements.
- Maintain confidentiality and security of employee information at all times.
