Position Summary
ITT Inc. is seeking a detail-oriented, business-focused professional for the corporate facilities team at our Global Home in Stamford, CT. This key incumbent will work in tandem with the Corporate Services Manager to provide seamless support for the staff, equipment, supplies, and utilities essential for business operations. The ideal candidate must have exceptional hospitality and customer service experience with all phases of project work, e.g., initial customer contact, funding procurement, sourcing, contractor management, executive meetings, punch list completion, and overall budget support.
Essential Responsibilities
- Assist in monitoring and assessment of vendor performance.
- Support for Purchase Order creation and invoice processing.
- Provide exceptional facilities helpdesk services and monitor internal/external workflow to ensure consistent quality of service and work product.
- Assist in directing daily facility maintenance and preventative maintenance.
- Support the coordination of people moves; procures, schedules, and supervises contractors, suppliers, and vendors.
- Play a key role in special events, including Board of Directors meetings, work in tandem with other functional teams, ensuring proper set-up and breakdown – coordinates with internal team and C-Suite.
- Collaborate with administrative professionals for food deliveries and set up for all meetings; ensure timely delivery of food services, especially for Board members and Leadership team.
- Keep detailed tracking of all stock to ensure stock maintained, i.e., copier paper, copier toner, etc.
- Function as a dedicated emergency evacuation support for the floor – lead the safe and orderly removal of occupants from a building during a crisis.
- Ensure overall cleanliness and tidiness in the facility including workstation, conference rooms/focus rooms/board room, pantry, bathrooms, copy areas, file room, wellness room, storage room, and mailroom/mechanical room.
- Remain knowledgeable regarding operational aspects of building systems.
- Follow and communicate effective protocol for effective building-specific maintenance and safety procedures.
- Escalate issues quickly to manager ensuring speediest resolution.
- Provide administrative support to our administrative professionals and ad-hoc requests, as needed.
Position Requirements
- Experience in facilities management and administrative services in a corporate environment with background in facilities management.
- Proven experience verifying, coding, and processing vendor invoices.
- Knowledge of accounting procedures, billing and firsthand experience creating, tracking, and managing purchase orders.
- Experience with Audio/Visual and construction requirements, a plus.
- Must possess a world-class customer service approach – dedicated to providing the highest level of customer service, meeting the needs of the overall team using while demonstrating a can and will-do attitude.
