Position Title

Facilities Manager

Job Purpose

The Facilities Manager is responsible for ensuring the efficient operation, maintenance, safety, and compliance of all facility-related services, including building infrastructure, housekeeping, security, technical systems, vendor management, and workplace experience.

Key Responsibilities

Facility Operations

• Oversee day-to-day facility management activities.
• Ensure smooth operation of building systems, including HVAC, electrical, plumbing, DG sets, lifts, and fire systems.
• Maintain workplace standards and service levels.

Maintenance Management

• Plan and monitor preventive and corrective maintenance activities.
• Coordinate with technical teams and vendors for timely issue resolution.
• Ensure minimum downtime of critical equipment.

Vendor & Contract Management

• Manage facility service providers including housekeeping, security, landscaping, and technical vendors.
• Monitor vendor performance against SLAs and KPIs.
• Process invoices and ensure contractual compliance.

Health, Safety & Compliance

• Ensure compliance with statutory, environmental, and safety regulations.
• Conduct safety inspections, emergency drills, and risk assessments.
• Maintain records related to audits and regulatory requirements.

Budget & Cost Control

• Prepare and manage facility operating budgets.
• Monitor expenses and identify cost-saving opportunities.
• Support procurement and contract negotiations.

Workplace Experience

• Ensure a safe, clean, and productive work environment.
• Address employee concerns related to facilities and workplace services.
• Support occupancy planning and workplace optimization initiatives.

Project Management

• Manage facility improvement projects, renovations, and office moves.
• Coordinate with stakeholders to ensure timely project completion.
• Monitor project costs, timelines, and quality standards.

Qualifications

• Bachelor's degree in Engineering, Facilities Management, Business Administration, or related field.
• Certification in Facilities Management (IFMA/FMP/CFM) preferred.
