We are looking for a Fleet Administrator to join our team and play a key role in supporting the efficient management of our vehicle fleet. Working closely with drivers, suppliers, and internal stakeholders, you will help ensure our fleet operations remain safe, compliant, cost-effective, and fully supported.Job Description:
As Fleet Administrator, you will take ownership of key fleet administration processes, ensuring data accuracy, compliance, cost control, and a high standard of service across the vehicle fleet. This is an excellent opportunity for someone who enjoys working with data, coordinating multiple activities, and building relationships across a business. You will be part of a collaborative team where your contribution will directly support operational performance and continuous improvement.
Responsibilities:
- Owning the administration of company fuel cards, maintaining accurate records and monitoring fuel transactions to identify anomalies and support cost management.
- Managing fleet-related purchase orders and invoice processes, ensuring accurate processing, reconciliation, and timely resolution of supplier queries.
- Maintaining ownership of fleet data integrity, ensuring vehicle, driver, asset, and compliance records are accurate and up to date across all fleet systems and third-party portals.
- Producing and coordinating fleet reporting and dashboards, providing timely and accurate management information to support operational decision-making.
- Managing short-term vehicle rental administration, ensuring bookings are accurately tracked and vehicles are off-hired promptly to minimise unnecessary costs.
- Owning the administration of vehicle fines, tolls, recharges, and company car activities, ensuring timely processing and accurate record keeping.
- Acting as a key point of contact for drivers, suppliers, and internal stakeholders, proactively resolving fleet-related queries and issues.
- Supporting fleet projects and continuous improvement initiatives, helping to enhance processes, compliance, efficiency, and service delivery across the fleet operation.
Knowledge, Skills and Experience:
- Previous experience within a fleet, transport, logistics or vehicle administration environment.
- Experience processing purchase orders and invoice administration.
- Experience producing reports and analysing operational data.
- Knowledge of fleet systems or third-party vehicle management portals.
- Health and Safety qualification or awareness training.
- Previous experience in an administrative or office-based role.
- Strong Microsoft Office skills, particularly Excel, with experience working with large volumes of data.
- Excellent organisational skills and the ability to manage multiple priorities effectively.
