Overview
MEDICAL CLERK - Department of Anesthesia (BAMC-2026-26174):
Bowhead seeks a Medical Clerk to support the Department of Anesthesia (DOA) at the Brooke Army Medical Center (BAMC) in San Antonio, TX. The Medical Clerk is tasked with managing patient’s health records and history, patient information, processing discharge paperwork and various administrative duties within BAMC at Fort Sam Houston, TX.
Support Hours: Monday – Friday / 0500 – 1800 hours (varying 8 hour shifts)
Responsibilities
Essential functions will include:
- Greet and receive patients in the clinic. In accordance with the National Patient Safety Guidelines, verify eligibility in DEERS by using two forms of identification. Verify appointments and enter patient data into MHS Genesis. Ensure military orders and letters of authorization have appropriate dates and signatures authorizing treatment. Manage the appointment line to facilitate patient reception and appointment processing. Bring any issues regarding eligibility to the attention of clinic management for a decision.
- Perform administrative procedures and process paperwork regarding insurance, third-party liability, or other designated insurance coverage.
- Prepare and maintain patient chart requirements to include consents, lab draws, diagnostics, radiographs, and automated files as required by local policy or Division, Department, Branch, or Section Chief.
- Maintain stock of nutrition orders for Same Day Surgery (SDS). May collect patient comment cards for the assigned section and send reminders to specified individuals regarding assigned commitments.
- Generate and format reports, forms, and listings. Requisition and maintain designated forms in stock for office usage.
- Perform daily processing in MHS Genesis for patients who present themselves on the day of surgery. Retrieve and copy in/outpatient medical records/charts that are current and up to date with labs, orders, and consents. Break down charts for return to medical records.
- Use MHS Genesis for entering provider requests for patient CTs, MRIs, Nuclear Medicine scans, labs, and x-ray orders. Attach lab/x-ray results to patient charts and notify the doctor when results are done.
- Check in patients and notify them of surgery times. Provide patients, escorts, and interested parties with their surgery/recovery status or updates when earlier times or delays occur in a polite and professional manner.
- Put together patient charts, place them in a folder, and place them in the rack for preoperative nurses to pick up when taking patients back to the preoperative area. Escort patients, escorts, and family members to patient care areas as requested.
- Assist nursing staff with any concerning issues regarding the patient’s chart/record upon presentation (i.e., Chest pain, active bleeding, weakness, expired labs, consents, etc.).
- Register patients in MHS Genesis, update demographics and insurance information in the MHS Genesis system when needed, and instruct patients on filling out third-party insurance information paperwork if needed.
- Review insurance eligibility as needed in the Defense Enrollment Eligibility Reporting System (DEERS). Make labels on the computer for charts and Lab/Radiology order forms.
Qualifications
- A high school diploma or equivalent is required at a minimum in addition to at least two (2+) years’ experience in a hospital administrative environment.
- Administrative experience in a government and/or hospital setting highly desired.
- Intermediate level computer/PC knowledge required including Microsoft Excel, Outlook, Word and PowerPoint.
- Must be able to work in a fast-paced, deadline driven office environment where privacy and confidentiality is critical while working alone and in teams to ensure mission success.
- Must be able to pass a pre-employment physical and provide proof of TDAP and Influenza vaccinations prior to employment and update as required.
This is a SCA position and the targeted hourly rate is $25.44 hourly.
Physical Demands:
- Must be able to lift up to 25 pounds
- Must be able to stand and walk for prolonged amounts of time
- Must be able to twist, bend and squat periodically
SECURITY CLEARANCE REQUIREMENTS: There are currently no Security clearance requirements however qualified candidates must be able to successfully obtain a NACI check to gain access to the facility. Bowhead retains the right to change these requirements due to contractual requirements. Due to the location of this work, US Citizenship is a requirement for this location.
