Office & Management Assistant
The Office & Management Assistant provides administrative and organizational support to leaders, teams, and visitors, ensuring the efficient day-to-day operation of business activities. The role is responsible for coordinating calendars, meetings, correspondence, travel arrangements, reporting, and general office administration.
Key Responsibilities
- Provide administrative and secretarial support to leaders and teams.
- Manage calendars, appointments, and meeting schedules.
- Coordinate travel arrangements.
- Prepare correspondence, presentations, reports, and meeting materials.
- Maintain records, files, and business documentation.
- Coordinate visitor management and meeting logistics.
- Act as a point of contact for general office administration activities.
- Support internal communications and office-related initiatives.
- Assist with the planning and coordination of meetings, workshops, and team events.
- Maintain and update administrative records and data.
- Prepare routine reports, summaries, and presentations.
- Support budget tracking and expense administration activities.
- Ensure accurate documentation and timely completion of administrative processes.
- Build effective working relationships with internal stakeholders and external partners.
- Provide professional support to visitors and colleagues.
What We're Looking For
- Previous experience in administration, management assistance, executive assistance, office coordination, or a similar support role.
- Strong organizational and multitasking abilities.
- Excellent attention to detail and accuracy.
- Thrives in multinational stakeholder environment .
- Strong verbal and written communication skills.
- Ability to prioritize workload and manage competing demands.
- Proficiency in Microsoft Office applications, particularly Outlook, Excel, Word, and PowerPoint.
