About this Role

Northstar Energy Solutions is looking for a highly organized and detail-oriented Safety Administrator to support the daily operations of our Safety Department. In this role, you will manage administrative tasks, facilitate communication between field teams and management, and help ensure the smooth functioning of our safety programs and office environment.

 

Location: 3340 Roy Orr Blvd, Grand Prairie, TX 75050Schedule: Monday–Friday

What You'll Do

• Assist with administrative duties for the Safety Department, supporting daily operations and communication between field teams and management.
• Perform accurate and timely data entry for field observations, incidents, and near misses.
• Write and review safety reports to ensure clarity, professionalism, and consistency.
• Prepare and distribute weekly safety reports using collected field data.
• Help manage and maintain data integrity across safety systems, including the Safety Systems.
• Participate in the onboarding and implementation for safety data management, learning and documenting system functionality alongside the Safety Operations Manager.
• Enter Safety Rep time into CTAP for weekly payroll processing.
• Process employee training information (S:Drive and CTAP entries); Distribution of training cards.
• Coordinate new-hire orientation, documentation, including photos, training files, and OSHA online training setup and completion tracking.
• Track and update AED inspection information in Quanta Services systems and CTAP; respond to AED battery and pad replacement notices.
• Prepare training reports as requested by Safety leadership.
• Answer and route phone calls from field employees, Safety Reps, and the main office.
• Coordinate site access for new hires and employees working on active job sites.
• Track AEP hours in VERO; request hardhat stickers and enter new-hire/employee job site information.
• Manage inventory and ordering safety supplies and new-hire orientation materials.
• Tracking of H2S monitors alongside Gas Safety Manager.

What You'll Bring

• Strong attention to detail and organizational skills.
• Excellent written and verbal communication abilities.
• Proficiency in Microsoft Office, especially Excel and Word.
• Ability to learn new software systems quickly and help train others.
• Comfortable managing multiple administrative priorities in a fast-paced field environment.

  

Job Qualifications:

• 2+ years of experience in safety, compliance, or administrative roles (utility or construction industry preferred).
• Experience with data entry and reporting systems; familiarity with platforms such as CTAP, VERO, or Origami is a plus.

 

 Educational/Certification Requirements:

 

• High school diploma or equivalent required; Associate's degree or higher preferred.
• OSHA 10-Hour or 30-Hour certification a plus.
