Job Summary
We are seeking a highly strategic and proactive Executive Assistant to the CEO who serves as a trusted partner and force multiplier, enabling the CEO to focus on the company's highest-value priorities. This role requires exceptional judgment, discretion, executive presence, and the ability to anticipate needs, synthesize complex information, and drive organizational follow-through. The ideal candidate operates with urgency, professionalism, and confidence, acting as an extension of the CEO in managing time, communications, preparation, and coordination of critical business initiatives.
Essential Job Responsibilities
- Own and optimize the CEO's calendar and time, serving as a strategic gatekeeper who aligns priorities, resolves conflicts, and ensures the CEO is prepared for all meetings, engagements, travel, and executive reviews.
- Act as an extension of the CEO in managing communications, including email triage, drafting executive-level correspondence, facilitating follow-up, and ensuring critical matters receive timely attention.
- Coordinate all executive travel including Scheduling Aircraft and Pilots, site visits, speaking engagements, and logistics, ensuring seamless execution and alignment with business objectives.
- Facilitate executive meetings by managing agendas, documenting key decisions, tracking action items, and ensuring execution of agreed-upon outcomes.
- Anticipate issues, opportunities, and organizational dynamics by maintaining awareness of company priorities, stakeholder relationships, and emerging business needs; proactively recommend solutions and required actions.
- Handle highly confidential information with the utmost discretion and professionalism.
- Build and maintain strong relationships with board members, executive leaders, customers, vendors, and other key stakeholders on behalf of the CEO.
- Supporting other executives (COO, CSO, and CFO) as needed
Other duties may be assigned as needed to support executive leadership and business operations.
Minimum Qualifications
Required:
- 5+ years of experience supporting a CEO, President, Founder, or other C-suite
- Exceptional organizational, project management, and time management skills with the ability to manage multiple priorities in a fast-paced environment.
- Outstanding written and verbal communication skills with the ability to interact professionally across all levels of the organization.
Preferred:
- Industry experience is preferred.
- Bachelor's or Master's degree preferred
