Overview
The Accounts Payable Specialist is responsible for accurately and efficiently processing payment requests submitted by all branches and cost centers. These requests may arrive through e‑mail, paper mail, or remote web‑based Account Payable Coordinator submissions. The Accounts Payable Specialist ensures that every invoice and payment request is complete, properly coded, and compliant with company policies.

Responsibilities
- Manually enter AP data into BankTEL with a high level of accuracy and attention to detail
- Retrieve and sort mail from the mail room to identify and properly route Accounts Payable items
- Review, verify and approve online AP submissions entered by remote AP Coordinators, ensuring completeness and compliance
- Scan and upload manually keyed AP invoices into BankTEL, attaching all supporting documentation to the corresponding payment record
- Process employee expense reports in accordance with the company’s Travel & Entertainment (T&E) Policy and internal control requirements
- Deliver timely, professional customer service to internal teams, branches and AP‑related vendors
- Void incorrect or unnecessary payments and initiate stop payments on checks when appropriate
- Maintain backup files for the IPS System, ensuring proper organization and retention
- Process and disburse payments, recording all transactions accurately in both the Accounts Payable system and the general ledger
- Execute periodic check runs, including printing, preparing and mailing checks
- Post accounts payable activity to the general ledger in alignment with accounting schedules and reporting deadlines
- Maintain daily AP records and reports, ensuring they are complete, current and audit ready
- Perform other related duties as assigned
Qualifications
- High School diploma or equivalent
- Minimum of 1 year of accounts payable or customer service experience
- Strong teamwork skill
- Ability to collaborate effectively in a fast‑paced environment
- Professional and positive communication skills, via email, both in person and over the phone
- Ability to work independently and as part of a team, manage multiple deadlines and prioritize workload effectively
- Proficient in Microsoft Office suite of products including Outlook, Word and Excel
- Excellent organizational skills, with a demonstrated commitment to accuracy and attention to detail
- Proficient ten‑key skills, with strong speed and accuracy
