WORKING EXPECTATIONS:
- The position operates in a fast-paced institutional sales and trading environment where client, market, research, conference, and transaction-related matters require immediate attention.
- The role requires the ability to manage frequent interruptions, competing priorities and short execution timelines while maintaining accuracy and professionalism.
- Working hours align with the requirements of the institutional equities business and may begin as early as 7:00 a.m. Availability outside standard business hours may occasionally be required to support conferences, events, live transactions, business stakeholders, and time-sensitive client matters.

SPECIFIC ACCOUNTABILITIES:
- Provides operational support to Institutional Equity Sales and Trading team members.
- Supports the planning, coordination and execution of analyst marketing, client events, specialty-sector programs.
- Coordinates internal and external meetings, including scheduling, invitations, room bookings, conference lines, materials and other logistical requirements.
- Builds effective working relationships with Sales, Trading, Research, Equity Capital Markets, Investment Banking, Corporate Access, Compliance and other internal and external stakeholders.
- Prepares, edits and distributes client-facing communications, invitations, agendas, presentations, research materials, procedures, templates and other business communications.
- Assists with the preparation, formatting and distribution of recurring sales and research communications, including the Morning Note template.
- Maintains client and account information in CRM, including contact details, meeting activity, event attendance and other time-sensitive updates, and tracks related business activity.
- Provides client-service support as an extension of the sales team by coordinating meetings, distributing approved materials, responding to logistical requests and appropriately escalating inquiries.
- Maintains organized electronic records, tracking files, templates, checklists and documented procedures so that client, conference, marketing, research and transaction information is accurate and readily available.
- Supports the maintenance of internal and external distribution lists and coordinates updates when employees, clients or business responsibilities change.
- Supports employee onboarding and transitions by coordinating system access, distribution lists, equipment, training and other administrative requirements.
- Coordinates training sessions, including invitations, scheduling, attendance tracking, confirmations and follow-up communications.
- Maintains knowledge of business systems and applications, including Microsoft Office, CRM, research-distribution, corporate-access, event-management and deal-related tools.
- Identifies opportunities to improve recurring processes, reduce duplication and strengthen coordination across the team.
- Manages multiple requests and changing priorities and supports the team during periods of increased activity, employee absences, conferences, live transactions and other time-sensitive business events.
- Broader work or accountabilities may be assigned as needed.
QUALIFICATIONS:
- 3-5 years of experience in an administrative, operational, client-service or professional support function. Experience within Financial Services or Capital Markets is an asset.
- Post-secondary degree or diploma in a related field of study is desirable.
- Working knowledge of the institutional equities business and the respective functions of Sales, Trading, Research, Equity Capital Markets and Investment Banking is an asset.
- Experience supporting events, conferences, client programs or other activities involving multiple stakeholders and deadlines.
- Strong client-service orientation and ability to communicate professionally with internal and external stakeholders.
- Verbal and written communication skills - Good.

- Attention to detail and accuracy - Strong.

- Experience with CRM, research-distribution, corporate-access or event-management systems is an asset.
- CSC and CPH completion, or willingness to complete based on role requirements.
The salary range for this role is $100,000 up to $115,000 CAD (subject to the candidate meeting the specific skills, experience, education, and qualification requirements)

Salaries for part-time roles will be pro-rated based on number of hours regularly worked. For commission roles, the salary listed above represents BMO Financial Group’s expected target for the first year in this position.
