BACKGROUND AND PURPOSE OF THE ASSIGNMENT:
The Management Services Unit of WFP Armenia is currently experiencing a significant increase in operational demands due to the high volume of activities, events, and procurement actions. The team is responsible for managing multiple administrative processes, including travel, system transactions, supplier coordination, asset and inventory management, and logistical arrangements for in‑house meetings and workshops.
With frequent and intensive travel schedules, numerous internal events requiring catering and set-up, and growing procurement needs for goods and services, the workload has exceeded the capacity of existing staff. Timely processing of requests, compliance with WFP procedures, and maintaining quality service require additional support.
In addition, the Unit will be heavily engaged in preparations and follow‑up for COP 17 and the upcoming SF International Conference in September 2027, both of which will demand extensive coordination, logistics, and administrative support.
The Business Support Assistant will provide essential assistance to ensure smooth administrative operations, reduce bottlenecks, and maintain efficiency in this fast‑paced environment.
KEY RESPONSIBILITIES (not all-inclusive, nor exhaustive):
Under the overall strategic guidance of the Finance Officer and the direct supervision of the Senior Management Services Associate, the Business Support Assistant will perform the following duties and responsibilities:
Process administrative transactions in WFP and maintain accurate records.
Support minor procurement actions, including RFQs, price comparisons and vendor documentation.
Communicate with suppliers to confirm orders, deliveries, and resolve issues.
Support in catering and logistics for in-house meetings and workshops.
Support in managing office assets and stationery: tagging, inventory checks, and stock replenishment.
Support in disposing of the written-off inventory.
Provide general administrative support, including filing, correspondence, and reception backup.
Coordinate the cleaning and upkeep of storage areas in UN house as well as support in archive disposal which will include proper registration of documentation and filing.
Assist in fleet management, including preparing vehicle reports, maintaining records, and following up on necessary maintenance.
Ensure compliance with WFP procedures and timely service delivery.
Perform other related duties as required.
DELIVERABLES AT THE END OF THE CONTRACT:
PRs, POs, invoices, and GRNs are processed accurately and on time in WFP systems.
Minor procurement tasks (RFQs, price comparisons, vendor files) are completed within deadlines.
Communication with suppliers is ensured and issues are resolved promptly.
Catering and meeting logistics are arranged as requested and costs are tracked.
Asset registers and stationery stocks are maintained and shortages are avoided.
Filing, correspondence, and reception backup are provided in an organized manner.
Monthly fleet reports are prepared and maintenance follow-ups are completed.
Storages are cleaned and archive is disposed.
Compliance with WFP procedures is ensured and service standards are met.
QUALIFICATIONS & EXPERIENCE REQUIRED:
Education:
Completion of secondary school education. A post-secondary certificate in the related functional area is desirable.
Experience:
Has at least 4 years of experience in general administrative work.
Demonstrates a broad or specialist knowledge of administration best practices, techniques and processes, and a good grasp of WFP standards, processes, and infrastructure in area of responsibility; applies this to ensure the provision of efficient and effective administration services.
Knowledge & Skills:
Has demonstrated an ability to perform all routine administrative activities in line with WFPs operating standards through day-to-day work.
• Ability to use standard office equipment such as photocopiers and scanners.
•Knowledge of standardized business support work routines and methods.
• Knowledge of standard office software packages, e.g. Microsoft word.
• Uses tact and courtesy to give and receive information with a variety of individuals.
•Good attention to detail in order to identify data discrepancies.
• Ability to work to deadlines and follow clear instructions.
Languages:
Fluency (level B) in English and Armenian languages; working knowledge of Russian language.
