Job Description:
OVERVIEW OF POSITION:
The Administrative Assistant is responsible for supporting provider services areas in a manner consistent with the highest levels of performance and professionalism. The role requires strong skills in relationship building, communication, presentation development, and meeting management, as well as the ability to work effectively with external partners and colleagues at all levels of the organization.
The Administrative Assistant handles highly confidential information discreetly and always maintains a high level of organization and attention to detail. The role reports directly to the Vice President, Government Programs and supports the leadership team of Colorado Community Health Alliance.
ESSENTIAL DUTIES:
- Be present in the Denver, Colorado office on a predetermined schedule, typically two to three days per week to greet visiting clients, receive incoming shipments, assist with office and facilities management, gather marketing materials for events, and prepare mailings.
- Manage complex calendars, travel, and expense reporting.
- Set up meeting arrangements and coordinate changes in meeting schedules.
- Ensure fallback plans are in place when coordinating critical meetings, and pivot quickly as situational changes warrant.
- Plan and organize the logistics of large in-office and/or offsite events and catering, coordinating with internal resources as needed.
- Monitor email and identify urgent requests, using sound judgment to prioritize action.
- Answer incoming calls and facilitate the handling of requests for information.
- Prepare presentations, letters, memos, and monthly and quarterly reports and charts using Microsoft Office applications.
- Lead the preparation and tracking of meetings, including board meetings and committees, external provider meetings, and health plan Joint Operating Committees (JOCs); some meetings occur during early morning and evening hours two to three times per month.
- Independently perform varied administrative duties related to the functional area.
- Handle highly confidential information discreetly and maintain a high level of organization and attention to detail.
- Participate in special projects and perform other duties as assigned.
- Maintains a high level of confidentiality and ensures compliance with HIPAA regulations

EDUCATION:
High School Diploma/GED; Bachelors’ degree preferred.
EXPERIENCE:
Three or more years of administrative experience supporting leadership teams, preferably in healthcare setting.
KNOWLEDGE, SKILLS, ABILITIES:
- Advanced proficiency in Microsoft 365 including Outlook, Excel, PowerPoint, Word, Teams and SharePoint
- Skills in Microsoft Teams virtual meetings and teleconferences.
- Strong written and verbal communication skills.
- Proven project coordination skills.
- Ability to prioritize, self-direct, and perform detailed tasks with minimal supervision.
- Ability to handle multiple demands concurrently while organizing, coordinating, setting priorities, and meeting deadlines.
- Flexibility to attend business meetings as required, with early morning and evening hours a few times a month.
- Strong organizational and time management skills
- Ability to manage multiple priorities and deadlines effectively
- Ability to establish and maintain effective working relationships with others
- Ability to handle multiple demands concurrently in a high stress environment; organize, coordinate, set priorities and meet deadlines
- Home office, that is HIPAA compliant for all remote or hybrid work arrangement positions as outlined by the company policies and procedures
Salary Range:
Salary Range: $22.28-$29.71 hourly
Additional Compensation: Annual performance bonus eligibility with a target of 5% based on company and individual performance.
