We're looking for a skilled Assistant Facilities Manager to support the delivery of best-in-class facilities services across our portfolio in Warsaw. In this role, you'll work closely with the Senior Facilities Manager and on-site teams to ensure operational excellence, compliance, and exceptional client satisfaction. You'll balance hands-on site visits with key administrative responsibilities including health and safety coordination, contractor management, and client reporting. What You'll Do:
- Support Facilities Managers in delivering high-quality FM services across multiple properties, ensuring compliance, efficiency, and client satisfaction
- Manage Building Management Systems, PPM schedules, task systems, and health & safety compliance to maintain operational standards
- Act as the go-to person for facilities and crisis management activities, providing timely solutions and removing potential roadblocks
- Develop strong relationships with client stakeholders, landlords, managing agents, and FM vendors to ensure seamless service delivery
- Coordinate and supervise contractors during interventions, reviewing health & safety documentation and ensuring safe working practices
- Monitor office housekeeping, cleanliness standards, and support services including events, food & beverage, and concierge operations
- Manage local budgets, process purchase orders and invoices, and proactively control spend in line with JLL and client policies
- Travel regularly to various locations to conduct site visits, support on-site teams, and ensure operational excellence is maintained
What We're Looking For
- Extensive facilities management experience in commercial environments with a proven operational delivery track record
- Fluency in both Polish and English, with excellent communication skills tailored to diverse audiences
- Strong client relationship management skills with the ability to build partnerships and deliver exceptional service
- Solid financial acumen including budget management, invoice processing, and cost control
- Knowledge of building systems, workplace strategies, PPM schedules, and FM technology solutions
- Demonstrated leadership ability to mentor teams, drive engagement, and promote excellence in service delivery
- Strong problem-solving skills with a hands-on approach to addressing technical repairs and building issues
- Proactive mindset focused on adding value through innovation, continuous improvement, and attention to detail
