Principal Duties and Responsibilities:
Essential functions include, but are not limited to, the following:
- Accurately and efficiently enter invoice and payment data into applicable systems.
- Follow established accounts payable processes and procedures to ensure invoices are processed accurately and timely.
- Collaborate with department heads and internal stakeholders to obtain necessary approvals and documentation for timely invoice processing.
- Review and reconcile vendor statements against invoices and payments to ensure account accuracy.
- Research, track, and resolve discrepancies related to invoices, payments, and vendor accounts.
- Communicate professionally and effectively with vendors and internal team members regarding invoice and payment inquiries.
- Maintain existing vendor accounts and assist with the setup and maintenance of new vendors in accordance with company policies and internal controls.
- Process stop-payment and void-check requests accurately and in a timely manner.
- Assist with month-end closing activities, reconciliations, and related reporting.
- Support special projects and other accounting-related initiatives as assigned.
- Maintain a high level of accuracy, confidentiality, and compliance with established internal controls.
Education and Experience Requirements:
- High school diploma or G.E.D. required.
- Minimum of two years of clerical, administrative, accounting, or related experience.
- Strong attention to detail and commitment to accuracy.
- Excellent organizational and time-management skills.
- Strong interpersonal skills with the ability to effectively interact with individuals at all levels of the organization.
- Excellent verbal and written communication skills.
- Ability to follow established processes and procedures while exercising sound judgment when resolving discrepancies.
- Understanding of basic internal controls and the importance of maintaining accurate financial records.
Preferred Qualifications:
- Previous experience with AS400 or similar accounts payable/ERP systems.
- Experience with Concur, Synergize, or comparable invoice-processing systems.
- Proficiency with Microsoft Excel and Microsoft Office applications.
- Familiarity with accounts payable processes, procedures, and best practices.
- Strong computer skills and the ability to learn new software systems quickly.
