The Legal, Governance and Regulatory division is seeking a highly capable Team Assistant to provide administrative support to the Leadership Team.
Supporting five General Managers, including the Company Secretary, this role is highly operational and fast paced. Success comes from managing a high volume of administrative tasks accurately, efficiently and with strong follow-through.
The role suits someone who enjoys being organised, managing competing priorities and keeping things running smoothly behind the scenes. You'll be responsible for a broad range of administrative activities and will take pride in delivering high-quality support in a dynamic environment.
You'll use Microsoft 365 and a range of business systems to coordinate activities, manage information and support day-to-day operations.
You'll also be part of a broader Team Assistant and Executive Assistant community, contributing to coordination and collaboration across APA.
Key Responsibilities
Supporting five General Managers, this role:
- Manages calendars, meetings and travel arrangements.
- Processes purchase orders, invoices and expense claims, including receipting.
- Coordinates periodic team events and offsites.
- Maintains accurate records, systems and documentation.
In addition, the role supports onboarding of new team members, assists with company secretariat administration, and works closely with the broader Team Assistant community, including providing leave coverage when required.
About You
- You are highly organised, proactive and comfortable managing work across multiple stakeholders.
- You enjoy the operational side of administration, have strong attention to detail and can effectively prioritise competing demands.
- You are calm under pressure, work well independently and follow tasks through to completion.
- You are confident using technology and enjoy learning new systems and ways of working.
What Will Set You Up for Success
- Strong organisational and time management skills.
- Ability to manage competing priorities in a fast-paced environment.
- Intermediate Microsoft 365 skills, particularly Outlook, Teams, Word and PowerPoint.
- Strong communication and stakeholder management skills.
- A collaborative, adaptable and proactive approach.
Qualifications and Experience
- Demonstrated experience in an administrative support role within a corporate environment.
- Supporting multiple leaders and managing competing priorities.
- Processing purchase orders, invoices and expense claims.
- Using finance, ERP or workflow systems to support day-to-day operations.
- Workday experience is highly regarded.
