Description
Reporting to the Head of People, the HR Executive is a dual-function position responsible for the day-to-day operational engine of the HR function while coordinating recruitment activity across the business.
This position demands high integrity, emotional maturity, strong judgement, and the discretion required to manage sensitive employee data and confidential people issues independently.
Key Responsibilities
- Maintain end-to-end data integrity within BambooHR. Oversee data accuracy, time-off policies, employee records, audit trails, custom reporting, and system updates to ensure the platform is leveraged to its full potential.
- Lead the onboarding and offboarding processes including drafting contracts, reference checks, equipment setup with IT, induction scheduling) and leaver administration.
- Serve as a dependable first point of contact for all staff and line managers regarding benefits, policies, and HR systems.
- Draft and issue HR documentation, including letters of variation, policy updates, and maintain digital employee files in full compliance with GDPR.
- Support the Head of People with transactional ER matters (absence management, basic performance management, grievance support), preparing documentation and tracking cases.
- Monitor legal updates and HR best practices to ensure internal documentation and policies remain compliant.
- Coordinate the recruitment process from vacancy authorisation to onboarding (attraction, initial screening, selection, offer management, and candidate communications).
- Proactively source active and passive candidates using LinkedIn Recruiter, social media, and relevant job boards to build strong pipelines for open roles.
- Proactively explore, pilot, and utilise AI tools to streamline daily administrative and recruiting workflows.
- Use AI tools to support efficient HR communications, job descriptions, onboarding materials and policy research and amendments.
- Partner with the Head of People to identify manual, repetitive tasks across the employee lifecycle and introduce smart automated solutions to improve function-wide productivity
Skills, Knowledge and Expertise
- Degree or Higher Diploma (NFQ Level 7/8) in Human Resource Management, Business with HR, or a closely related discipline
- CIPD Membership (Associate Level 5 preferred, or active student working towards completion) would be advantageous.
- 2+ years experience in a dedicated HR operational or administration role, within a dynamic, scaling or start up environment.
- Hands-on experience with recruitment sourcing, screening, and candidate coordination.
- Direct experience using and configuring cloud-based HRIS platforms (e.g., BambooHR) and ATS platforms
- Active user of AI productivity tools (e.g., ChatGPT, Claude, Copilot) with a demonstrable appetite to learn and implement AI workflows within an HR environment.
- A proactive, problem-solving mindset paired with meticulous attention to detail in data management and administrative output.
- Strong digital literacy with an active drive to adopt and champion modern HR technology, automation, and AI platforms.
- Full clean driving licence
- Ability and willingness to travel to UK, EU, US and beyond if required
