Benefits & Compensation Administrative Assistant

Location: Hybrid - London or Manchester (2 days in the office)
Reports to: Director, Global Compensation & Reward
Working Hours: Full-time 40 hours per week (12 months Fixed Term)
Role Description
Support the UK and Global Benefits and Compensation teams with a range of administrative tasks, delivering efficient customer service to internal and external stakeholders and maintaining accurate, up-to-date records and documentation. This role helps ensure employees have a smooth experience with their benefits and reward programmes by managing enquiries, data and administrative processes with care and efficiency.

Competencies / Skills / Knowledge / Experience
We’re looking for an administrative professional who meets the following criteria:
Proficient to advanced Microsoft Excel skills — confident organising data, using spreadsheets for tracking and carrying out basic analysis.
Proficient Microsoft Office skills — confident using Outlook, Word and PowerPoint, managing shared inboxes, setting up diary invites on Zoom and Teams, and creating basic presentations.
Communication skills — clear and professional written and verbal communication style; comfortable responding to employee queries in a friendly, concise manner.
Organisation and time management — able to manage multiple tasks across the team, keep work well organised and meet deadlines in a fast-paced, changing environment.
Attention to detail — a high level of accuracy when reviewing documents, entering data and processing information.
Eagerness to learn — quick to learn new systems and processes; able to pick up HRIS or benefits platforms. Experience with Workday and benefits software is desirable.
Customer service mindset — approachable and empathetic when dealing with employee questions or issues, with a focus on providing a positive experience.
Experience — previous experience in an HR, benefits, compensation or senior administrative support role, with a basic understanding of employee benefits and compensation concepts.

What the role includes
UK Benefits
Act as the first point of contact for the UK Benefits inbox, responding to employee queries within agreed timeframes and escalating complex issues where needed.
Track benefits queries and usage data to support reporting and ROI analysis.
Manage benefits invoice administration, including reviewing invoices, liaising with Finance and providers, and updating the master tracker.
Administer employee reimbursement benefit requests in Workday, including validating applications, tracking requests and following up on missing information.
Run regular Workday and benefit system reports, reconcile data and follow up on missing or inaccurate information.
Support onboarding activity, including welcome emails, benefits induction sessions and calendar coordination.
Coordinate local benefits fairs and provider visits as required.
Provide general administration and project support to help the team deliver global and local reward and benefits programmes.
Compensation & Global Benefits
Act as first point of contact for the Live Nation Global Compensation inbox, allocating requests to the relevant lead and providing timely administrative support.
Cover the shared International Benefits inbox during team absence, ensuring requests are monitored, allocated, and responded to appropriately.
Maintain accurate compensation records, trackers, process guides and shared folders, ensuring information is accessible and up to date.
Support job architecture and compensation initiatives by gathering information, updating documentation, preparing materials, arranging meetings and tracking actions.
Support Mergers & Acquisitions-related compensation and benefits activity, including data tracking, documentation and information requests.
Support global benefits projects and processes, including benefit information, data requests and stakeholder coordination.
Support the Reward & Benefits Advisor with global benefits data collation for reporting and projects.
Handle compensation and international benefits data confidentially, accurately and in line with internal procedures and data-protection requirements.
Provide administrative support to the Global Compensation & Reward Director as required.
