Job Description:
We are currently recruiting for a Business Support Manager who provides high-level executive, operational, governance, stakeholder and document-control support to the Executive Director – CPMO. Reporting to the Executive Director – CPMO, this role enables effective leadership coordination by managing executive priorities, communications, meetings, records, approvals, reporting rhythms and action follow-up across CPMO and CPO interfaces.
The Business Support Manager streamlines cross-functional workflows, standardizes templates and trackers, supports reporting and executive submissions, coordinates resource and stakeholder administration, and ensures issues, decisions, approvals and records are captured and closed. The role manages confidential information, document routing, SharePoint / Teams filing, DocuSign coordination and Aconex / EDMS handling; mitigates operational and governance risks; and safeguards compliance with CPMO protocols and NEOM standards. By creating a structured, repeatable support environment for the ED CPMO office, the Business Support Manager improves productivity, accelerates response times and helps the CPMO team deliver accurate, ethical and timely outcomes.
What You'll Be Doing:
• Coordinating and managing executive office priorities, CPMO activities, project reviews, workshops and events
• Supporting the development and implementation of CPMO governance routines, reporting processes, templates and communication protocols
• Conducting research, compiling information and providing clear recommendations or briefing inputs to executive management
• Creating and maintaining action trackers, project plans, schedules, registers, logs, dashboards and controlled support records
• Providing administrative, operational and executive support to the ED CPMO and assigned CPMO functions
• Coordinating and facilitating employee onboarding, offboarding, mobilisation, demobilisation and staff movement requirements
• Assisting with training, knowledge sharing, team coordination, document-control guidance and productivity enablement
• Supporting recruitment and resource processes, including CV coordination, interview scheduling, staff mapping and PAF-related support
• Managing calendars, scheduling appointments, preparing meeting invites and coordinating meeting logistics
• Coordinating travel, accommodation, transport, staff logistics, office supplies and related operational requirements where required
• Preparing and distributing meeting agendas, minutes, decision logs, action trackers, memos, presentations and executive correspondence
• Managing office supplies, meeting support, refreshments, equipment requests and procurement-related administration
• Maintaining files, records, SharePoint / Teams folders, distribution lists, org charts, contact maps and document-control registers
• Handling Aconex / EDMS activities including upload, download, retrieval, transmittal support, workflow follow-up, document status checking and evi
Stakeholder Management
• Identify stakeholders by recognizing internal and external parties with an interest in CPMO business support, governance, reporting and document-control activities
• Plan and strategize by creating practical plans, trackers, timelines, templates and follow-up mechanisms to support implementation
• Communicate to keep stakeholders informed, aligned and engaged through clear instructions, reminders and executive-ready updates
• Train and support employees by guiding colleagues on templates, filing practices, meeting protocols, SharePoint / Teams use, Aconex coordination and administrative processes where required
• Monitor and evaluate progress to adjust trackers, communication flow, document routing, action follow-up and support practices as requirements evolve
Project Management
• Coordinate and organize tasks and assign or follow up with relevant owners across CPMO, regional teams and external stakeholders
• Manage resources by supporting staff lists, org charts, onboarding/offboarding, CV coordination, interviews, availability, seating/location records and related workforce administration
• Providing direction and support to ensure team members and stakeholders understand required actions, timelines, protocols and documentation expectations
• Encouraging teamwork and open communication to achieve common CPMO goals and efficient coordination across functions
• Leading and supporting business support initiatives, trackers, templates, filing structures and process improvements that align with CPMO priorities
• Streamlining processes and systems to maximize productivity, reduce duplication and improve visibility of actions, records and decisions
• Setting and meeting targets that contribute to the effectiveness of ED CPMO support, reporting, governance and stakeholder coordination
What Required Skills You'll Bring:
• Bachelor’s degree or relevant experience
Minimum of 7 years working experience in Business administration
• Proficiency in Microsoft Office, particularly Outlook, Teams, SharePoint, Excel, Word and PowerPoint
• Proven experience in business support, executive assistance, office management, document control or a related role
• Proven experience in coordinating teams, stakeholders, business operations and project-support activities• Experience in providing administrative, executive and operational support within a complex project / PMO environment
• Experience in coordinating and managing projects, workshops, governance forums, reports, submissions and events
• Experience in onboarding/offboarding, mobilisation, staff lists, CV coordination, interview scheduling, leave tracking and resource administration
• Experience in managing records, registers, controlled filing, document routing, DocuSign coordination, Aconex / EDMS workflows and audit evidence
