About the Role
We're looking for a detail-oriented, reliable Office Support Specialist to join our team on a part-time basis. This role provides essential administrative and logistical support across the company, helping keep day-to-day office operations running smoothly. What You'll Do
- Provide general administrative support
- Assist with Outlook scheduling, calendar coordination, and correspondence as requested
- Support the Office Coordinator with day-to-day office logistics, shipping needs, and errands
- Support the MLB BLB (Medical Leadership Board and Business Leadership Board) meetings from planning through execution — including pre-meeting preparation, onsite setup, and day-of logistics. This role is essential to the meeting's success and requires travel, overnight accommodations, and extended working hours during the event. The company currently hosts two in-person meetings and one virtual meeting a year.
- Assemble and format presentation materials for meetings and events, compiling content developed by others into a polished, consistent master deck
- Assist with coordination of logistical details for meetings and events, including venue arrangements, hotel accommodations, and travel-related coordination as needed
- Order and track office supplies and inventory
- Assist with special projects and administrative tasks as assigned
- Strong organizational skills and attention to detail
- Comfortable managing multiple tasks and shifting priorities
- Clear written and verbal communication skills
- High proficiency in Microsoft Office required, particularly PowerPoint and Outlook (calendar management, email organization, meeting scheduling); working knowledge of Word and Excel also expected
- A proactive, can-do attitude and willingness to learn
- Prior administrative or office support experience is required
- Ability and willingness to travel for two required annual in-person meetings, including overnight stays and extended/long working hours during the event
