Job Overview:

The Supply Chain Coordinator (SCC) is a vital member of the Non-Vessel Operating Common Carrier (NVOCC) operations team within RMG. The SCC will primarily work as a Documentation Specialist, ensuring processes are accurately followed through from start to finish. The SCC is the primary liaison between RMG customers and the steamship lines with which RMG conducts business. The NVOCC function is fast paced and requires great care and attention with respect to the vast amounts of information and forms that the NVOCC group must generate/process. The SCC also must interface and interact with the Logistics and Operations teams of RMG to assist and support with the successful onward movement of customer cargoes.


Key Job Duties:

  1. Receive, review, and process customer export booking requests. 
  2. Validate applicable rates, service contracts, and trade lane eligibility prior to securing carrier bookings. 
  3. Submit booking requests to steamship lines, confirm vessel space, and accurately enter booking details into internal systems. 
  4. Prepare and distribute booking confirmations, revisions, and shipment updates to customers. 
  5. Monitor booking status, carrier schedule changes, operational deadlines, and cargo cutoffs; proactively communicate impacts and required actions to customers. 
  6. Coordinate with logistics, rail, and ground operations teams to align vessel schedules, loading dates, rail arrivals, and cutoff requirements while minimizing detention and demurrage exposure. 
  7. Resolve booking conflicts, capacity constraints, and service-related issues with customers and carriers. 
  8. Receive, review, validate, and process shipping instructions, ensuring compliance with regulatory requirements, customer contracts, and company policies before submission to carriers. 
  9. Collect and maintain documentation required for export processing, certifications, regulatory filings, and bill of lading preparation. 
  10. Prepare and submit required filings through the Automated Export System (AES) to ensure compliance with U.S. export regulations. 
  11. Receive draft bills of lading from carriers, review for accuracy and compliance, identify discrepancies, and distribute drafts to customers for approval. 
  12. Process bill of lading revisions and amendments, coordinating with customers and carriers to finalize documentation while minimizing amendment fees and delays. 
  13. Arrange requested cargo release terms with carriers and provide customers with all required export documentation. 
  14. Manage inventory and record retention of serialized original bill of lading forms, ensuring proper issuance and document control. 
  15. Receive finalized bill of lading files, print original documents when required, and coordinate courier delivery to customers, including tracking and release documentation. 
  16. Receive and process customer requests for changes of destination, booking splits, booking consolidations, and other shipment modifications. 
  17. Monitor shipments throughout transit, investigate service disruptions, customs delays, seal discrepancies, and schedule changes, and coordinate resolution with all affected parties. 
  18. Interpret carrier contracts, service agreements, and tariff provisions while providing recommendations that support compliance, cost control, and operational efficiency. 
  19. File and maintain applicable rates and tariffs with the Federal Maritime Commission (FMC) through designated platforms. 
  20. Audit, review, approve, and dispute carrier freight invoices and related transportation charges as appropriate. 
  21. Onboard new customers and support the implementation of customer-specific operating procedures. 
  22. Maintain accurate records, shipment documentation, and transaction data in applicable operating systems. 
  23. Perform additional duties and special projects as assigned by leadership.

Requirements


  1. Minimum 1 year of applicable experience in the Transportation industry 
  2. Bachelor's or Associate’s degree in Business, Logistics, Supply Chain Management, or a related field helpful
  3. Dedicated to customer service 
  4. Strong technical skills required. Experience with document processing or logistics software necessary. Experience with GoFreight as a bonus
  5. Strong attention to detail and good communication skills 
  6. Ability to meet deadlines while handling multiple priorities
  7. Willingness to work as a team with other departments
  8. Willingness to participate in ongoing continuous improvement efforts
