POSITION SUMMARY
The Personal Lines Account Associate provides essential operational and administrative support to the Personal Lines and Private Client Account Management team, ensuring accurate policy servicing, timely client communication, and strong risk management practices. This role is central to maintaining accurate client records within the agency management system and supporting a seamless client experience across the policy lifecycle — from new business entry and policy issuance through change processing, renewal preparation, and claims follow-up.
ESSENTIAL DUTIES & RESPONSIBILITIES
Support Account Manager functions as needed.
Enter customer or prospect client information into the agency management system.
Prepare and issue evidence of insurance, certificates of insurance, and automobile identification cards at the direction of the Account Manager.
Process and follow up on cancellation and/or reinstatement requests to ensure accurate and timely resolution.
Review and process change requests in the agency management system and confirm completeness and accuracy.
Assist with rating at the direction of the Account Manager.
Participate in the renewal preparation process, including preparing policies for delivery to clients, generating proposals, and sending annual reviews and renewal reminders.
Communicate with company personnel regarding the client’s needs and/or issues.
Report and/or follow up on claims as requested.
Document all transactions in the agency management system, including ancillary systems as required, and maintain an accurate suspense system on all items that require a response.
Field phone calls from insureds regarding questions about their coverage, changes, additions, payments, and cancellations, as needed for backup support.
Avoid issues involving potential Errors and Omissions (E&O). Adhere to E&O File Audit requirements on all accounts. Immediately report any possible E&O issue to a supervisor.
Provide quality customer service to clients, team members, and carriers.
Maintain a General Lines – P&C license and participate in seminars and other training to support required licensing, knowledge, and skill development.
Perform other reasonable duties as assigned by a supervisor, in overall support of the Account Manager and Producer.
REQUIRED SKILLS & QUALIFICATIONS
Active Texas General Lines – Property & Casualty license, or ability to obtain one within an agreed-upon timeframe.
Working knowledge of agency management systems (e.g., EPIC) and Microsoft Office.
Strong verbal and written communication skills for client- and carrier-facing interactions.
High attention to detail and a proactive approach to Errors & Omissions (E&O) risk management.
Ability to manage multiple priorities and deadlines in a fast-paced service environment.
Team-oriented mindset with a willingness to provide backup support across the Personal Lines team.
This is a hybrid role, requiring three days per week in the office.
(*The first 90 days candidate will be in office 5 days per week before transitioning to Hybrid schedule.)
