Summary: The Safety Administrator will support day‑to‑day project operations by coordinating safety compliance, maintaining project documentation, track manpower on site, and ensure clear communication among teams and stakeholders. The role keeps projects organized, on track, and compliant while providing essential administrative and reporting support to the safety and construction team.
Essential Duties and Responsibilities:
- Create, manage, and update Smartsheet sheets, dashboards, automated workflows, and reports to support project tracking and visibility.
- Track site wide manpower and provide accurate and timely reporting.
- Manage safety material procurement, maintain inventory, and track related invoices, payment controls, and purchase orders.
- Maintain and update safety documentation, daily logs, training records, subcontractor compliance files, audit materials, and other project records.
- Prepare documentation for internal and external safety and quality audits, including reports, KPI dashboards, and safety metric summaries.
- Organize and maintain accurate project files, contact lists, distribution lists, and other administrative records.
- Prepare and distribute meeting minutes and develop professional presentations, spreadsheets, documents, flowcharts, and other project communication materials.
- Collaborate with safety teams to ensure full compliance with safety protocols and regulations while promoting a strong safety culture.
- Perform additional duties to support project, safety, and administrative operations.
Qualifications:

Education/Experience:
- High School Diploma/GED.
- 3+ years of administrative experience.
- Construction Safety knowledge is a bonus.
Skills and Competencies:
- Strong understanding of construction methods and safety practices, including audits, KPI tracking, and compliance documentation.
- Skilled in document control, version management, distribution, archival, and safeguarding confidential records.
- Proficient in Microsoft Office with advanced Smartsheet skills for dashboards, reports, automation, and project tracking.
- Quick to learn and apply new technical skills through hands‑on experience and evolving construction technology.
- Highly organized and detail‑oriented with strong analytical abilities and capacity to manage multiple priorities.
- Effective under pressure with strong time‑management skills and the ability to meet shifting deadlines.
- Clear communicator able to engage stakeholders at all levels.
- Strong relationship‑builder who collaborate well across teams while maintaining professionalism, integrity, and confidentiality.
- Adaptable, resilient, reliable, proactive, and comfortable working in active job-site environments.
Language Proficiency:
- Excellent written and verbal communication skills in English; Mandarin proficiency is a plus.
Additional Requirements:
- Must have and maintain a valid driver’s license. May be required to travel to other sites within Arizona to perform certain work functions.

Work Environment:
- Exposure to dust, noise, vibration, and moving mechanical equipment.
- Indoor and/or outdoor work environments, which may include varying temperatures and weather conditions.
- Work in confined spaces, elevated areas, or active job sites, depending on project requirements.
- Required use of personal protective equipment (PPE) such as hard hats, safety glasses, gloves, steel-toe boots, and high-visibility vests.
- Interaction with powered industrial equipment, tools, and vehicles.
