Job Description:
1. Clinic Operations & Administration
- Manage consultant outpatient clinic and ensure smooth daily operations
- Schedule clinic appointments and procedures efficiently
- Handle patient enquiries (appointments, admissions, billing, insurance, discharge & follow-up)
- Ensure all forms and documentation are completed accurately
- Coordinate and escort patients to relevant departments (Radiology, Lab, etc.)
- Utilize system for scheduling and patient coordination
- Prepare appointment list in advance and confirm with patients
- Submit Guarantee Letter (GL) requests and update consultant schedules
- Maintain daily census and proper filing system
- Dispatch medical records to HIMS after clinic sessions
- Ensure clinic environment is clean, organized, and fully prepared
- Maintain confidentiality of patient information (PDPA compliance)
2. Organizational & Quality Compliance
- Adhere to hospital policies, vision, and service standards
- Report issues affecting service quality to Head of Services
- Participate in quality improvement, infection control, and safety programs
- Support accreditation activities (MSQH, JCI, IMS, etc.)
- Comply with Occupational Safety & Health regulations
3. Customer Service & Team Support
- Deliver professional and patient-centered service
- Handle complaints and enquiries effectively
- Work closely with consultants, nurses, and support staff
- Perform additional duties assigned by management
4. Facilities & Equipment
- Ensure proper handling and maintenance of equipment
- Monitor stock, supplies, and consumables
- Report faulty equipment to biomedical team
- Participate in stock count activities
5. Personal Development
- Participate in training and continuous learning
- Contribute to departmental and hospital initiatives
Requirements:
Minimum:
- SPM (Credit in Bahasa Malaysia & Mathematics)
- Physically fit and able to work shifts
Preferred:
- Certificate in Healthcare / Nursing Aide
- Diploma in healthcare-related field
- Experience in hospital setting
Experience
- 1–3 years in similar role (clinic / hospital / customer service)
