Description
Intermountain Farmers Association (IFA) is a regional farm supply co-op with diverse operations including feed production, agronomy services, and retail stores throughout the intermountain west. We are currently seeking a qualified individual to fill the position of Office Manager/Receptionist with some Administrative Assistant responsibilities at the corporate office in Salt Lake City, Utah.
SUMMARY: Intermountain Farmers Association is seeking a professional, organized, and dependable Office Manager / Receptionist to oversee daily office operations, provide excellent customer service, and support management and staff with administrative responsibilities. This position serves as the first point of contact for visitors, customers, and vendors while ensuring the office operates efficiently and professionally.

RESPONSIBILITIES INCLUDE:
Office Management:
- Serve as the first point of contact for visitors, customers, and vendors, providing a professional and welcoming experience.
- Oversee daily office operations to maintain an organized, efficient, and professional work environment.
- Manage office supplies, equipment, and inventory, including ordering and coordinating maintenance as needed.
- Coordinate with vendors and service providers for office-related needs.
- Maintain office files, records, and administrative systems.
- Identify opportunities to improve office procedures, organization, and efficiency.
- Assist with office-related projects and special assignments as directed by management.
- Ensure common areas, conference rooms, and reception areas remain clean, organized, and presentable
Receptionist:
- Greet and welcome visitors, customers, and vendors in a friendly and professional manner.
- Answer, screen, and direct incoming telephone calls.
- Respond to general inquiries and direct requests to appropriate personnel.
- Manage incoming and outgoing mail, packages, and deliveries.
- Maintain a professional reception area and provide a positive first impression of the organization.
- Coordinate visitor appointments and assist with meeting arrangements.
- Support team members and ensure the smooth functioning of the office with other duties as assigned.
General Business and Administrative Assistant:
- Provide administrative support to senior management and other departments as needed.
- Prepare, format, and proofread correspondence, reports, spreadsheets, and other documents.
- Periodically schedule meetings, coordinate calendars, and assist with appointment management.
- Perform data entry, maintain databases, and update records accurately.
- Support document management, filing, scanning, and record retention.
- Assist with special projects and other administrative assignments.
- Assist with basic administrative tasks related to accounts payable and accounts receivable, as assigned.
- Organize invoices, receipts, expense reports, and other business documents.
- Provide additional clerical and operational support as business needs arise.
BASIC QUALIFICATIONS:
- High level of personal integrity and professionalism.
- Strong interpersonal skills and customer-service-oriented attitude
- Ability to maintain confidentiality.
- Ability to prioritize tasks, manage multiple responsibilities, and meet deadlines.
- Ability to work independently, take initiative, and solve problems.
- Proficiency in Microsoft Office Suite and other relevant software applications.
- Excellent problem solving, project management, and communication skills.
- Strong organizational abilities, analytical skills, and attention to detail.
- Demonstrated reliability, punctuality, and professionalism.
- High school diploma or equivalent.
PREFERRED QUALIFICATIONS:
- Exceptional organizational and communication skills (both verbal and written).
- Experience using a multi-line phone system.
- At least two years of experience in a professional office environment.
