Assistant Facilities Manager
What this job involves:
As an Assistant Facilities Manager at JLL, you'll play a vital role in ensuring our clients' facilities run smoothly, efficiently, and safely every single day. This position combines hands-on operational management with strategic planning, requiring you to oversee building systems, coordinate maintenance activities, and support the delivery of exceptional facility services. You'll work closely with the Facilities Manager to implement best practices, manage vendor relationships, and ensure compliance with all safety and regulatory standards. What your day-to-day will look like:
- Oversee daily facility operations including HVAC, electrical, plumbing, and building automation systems to ensure optimal performance and occupant comfort
- Coordinate and supervise maintenance activities, work orders, and service requests while ensuring timely resolution and quality standards
- Conduct regular facility inspections to identify maintenance needs, safety concerns, and opportunities for operational improvements
- Manage relationships with vendors, contractors, and service providers, including contract oversight, performance evaluation, and invoice processing
- Support the development and implementation of preventive maintenance programs to maximize equipment lifespan and minimize downtime
- Respond to facility emergencies and coordinate urgent repairs while maintaining clear communication with stakeholders throughout the resolution process
- Monitor and analyze facility performance metrics, energy consumption data, and operational costs to identify trends and recommend efficiency measures
- Ensure compliance with all building codes, safety regulations, environmental standards, and company policies through documentation and regular audits
- Collaborate with cross-functional teams to support special projects, space modifications, and client initiatives that enhance the facility experience
Required qualifications:
- Bachelor's degree in Facilities Management, Engineering, Business Administration, or related field, or equivalent practical experience
- 3+ years of experience in facilities management, building operations, or property management roles
- Strong understanding of building systems including HVAC, electrical, plumbing, fire safety, and security systems
- Proven ability to manage multiple priorities simultaneously while maintaining attention to detail and meeting deadlines
- Excellent communication skills with the ability to interact professionally with clients, vendors, and team members at all levels
- Working knowledge of relevant building codes, OSHA regulations, and environmental compliance requirements
- Proficiency with computerized maintenance management systems (CMMS) and Microsoft Office Suite
- Valid driver's license and ability to travel between facilities as needed
Preferred qualifications:
- Facilities Management Professional (FMP) or Certified Facility Manager (CFM) certification
- Experience managing facilities in corporate, commercial real estate, or institutional environments
- Background in energy management, sustainability initiatives, or LEED building operations
- Familiarity with building automation systems (BAS) and Internet of Things (IoT) facility technologies
- Experience with budget development, financial reporting, and cost control measures
- Project management experience including space planning, renovations, or capital improvement projects
