About the role
You will manage sourcing and purchasing for our events, activations and production projects. You will find the right suppliers, compare quotations, negotiate costs and ensure that materials and services arrive at the required quality and on time.
Working with the creative, production, operations, account and finance teams, you will follow each purchase from the initial request through approval, ordering, delivery and payment documentation.
What you will do
Supplier sourcing
- Source suppliers for event materials, printing, fabrication, equipment and other project requirements
- Assess suppliers based on price, quality, availability, reliability and delivery time
- Find alternative suppliers when project requirements, budgets or deadlines change
- Build strong supplier relationships and keep the supplier database updated
- Monitor supplier performance across active projects
Quotations and negotiation
- Request, review and compare quotations
- Evaluate quotations against project specifications, budgets and delivery requirements
- Negotiate prices, payment terms and delivery conditions
- Prepare clear supplier comparisons to support purchasing decisions
- Identify savings without compromising quality or deadlines
Purchasing and deliveries
- Clarify specifications, quantities and deadlines with internal teams
- Prepare purchase orders and coordinate internal approvals
- Brief suppliers on confirmed requirements and delivery instructions
- Track orders from confirmation through final delivery
- Resolve delays, shortages, specification errors and quality concerns
- Confirm that delivered items match the agreed quantities and specifications
Records and coordination
- Keep quotations, purchase orders, invoices and delivery confirmations organised and updated
- Verify invoices against approved orders and delivery records
- Coordinate with finance on invoice approval and supplier payments
- Support project cost tracking and reconciliation
- Keep relevant teams updated on purchasing progress and outstanding requirements
What we are looking for
- Previous experience in procurement, purchasing, sourcing or supplier management
- Experience in events, production, advertising or another project-based environment is preferred
- A degree in business administration, supply chain management, procurement, logistics or a related field is preferred
- Strong quotation comparison, supplier evaluation and negotiation skills
- Familiarity with event materials, printing, fabrication and production requirements is an advantage
- Experience preparing purchase orders and maintaining procurement records
- Strong Excel or Google Sheets skills
- Good commercial understanding of pricing, budgets, payment terms and cost control
- Excellent organisation and attention to detail
- Able to manage several purchasing requirements and deadlines at once
- A proactive, collaborative and solutions-oriented mindset
- Good English and Arabic
