About the Opportunity
We are seeking an organised, proactive, and customer-focused Administration Officer to join our aged care team. Reporting to the Precinct Manager, you will play a key role in the smooth day-to-day operation of the facility, providing high-quality administrative and rostering support to ensure efficient service delivery.
Working closely with residents, families, staff, and management, you will assist with a range of administrative functions, workforce coordination, and office operations while maintaining a high standard of professionalism, confidentiality, and customer service.
- Provide comprehensive administrative support to the Service Manager and wider team, ensuring the smooth day-to-day operation of the facility.
- Coordinate and maintain staff rosters, including roster changes, shift coverage, workforce scheduling, and staffing allocations.
- Manage workforce administration processes using Workday, RosterOn, and other workforce management systems.
- Support the implementation, maintenance, and continuous improvement of rostering and workforce management systems.
- Ensure employee records, roster data, and staffing information are accurate, up-to-date, and maintained in accordance with organisational requirements.
- Facilitate effective communication between residents, families, staff, management, and external stakeholders.
- Prepare reports, meeting minutes, correspondence, and other administrative documentation as required.
- Maintain accurate filing systems, records management, and document storage processes.
- Provide training and support to staff on roster-related processes and system updates where required.
- Ensure compliance with organisational policies, aged care standards, privacy requirements, and confidentiality obligations.
- Deliver high-quality customer service while supporting managers and staff with a range of administrative and operational tasks.
What You'll Bring
You are reliable, compassionate, and highly organised, with a genuine commitment to supporting older Australians and delivering exceptional administrative support.
- Previous experience in an Administration Officer or similar administrative role, preferably within an aged care.
- Demonstrated experience in roster planning, scheduling, and workforce coordination.
- Experience using Workday, RosterOn, or similar workforce management and rostering systems is highly desirable.
- Strong proficiency in Microsoft Office Suite, including Word, Excel, Outlook, and Teams.
- Excellent written and verbal communication skills with the ability to build positive relationships across all levels.
- Strong organisational skills, attention to detail, and the ability to manage multiple priorities in a fast-paced environment.
- High level of accuracy in data entry, record management, and administrative processes.
- Strong customer service and interpersonal skills, with a professional and approachable manner.
- Ability to maintain confidentiality and handle sensitive information with discretion.
- Adaptable and technology-savvy, with the ability to quickly learn new systems, processes, and ways of working.
- A genuine commitment to supporting older people and contributing to a positive aged care environment.
