Description
The HR Officer is responsible for preparing and running monthly payroll, prepare statutory reports, HR reports, updating the HITS system. She/He is also responsible for updating personal files with relevant information, providing administrative and logical support to the HR and Administration Manager. Tracking and ensuring proper flow of documents within the department. Responsible for coordinating soft skills trainings and update training records for the Territory. Update employee’s attendance register in the machine, prepare and circulate monthly attendance report.
Key Duties & Responsibilities:
- Preparing and running of monthly payroll for all staff and submission of payment/reports to statutory authorities.
- Preparing and submitting statutory monthly reports.
- Manage social security enrolment and contribution status of employees.
- Managing medical insurance issues e.g., claims, addition & cessation of members.
- Facilitate and coordinate training materials and venue for soft skills training including ordering refreshments, meals for on-going trainings.
- Updating HITS system with training, leave and appraisal records.
- Updating employees’ personal files with all relevant information.
- Track and ensure proper flow of document that are forwarded to the HR offices for approval and recording and to respective offices.
- Visa applications for visitors & employees travelling abroad.
- Update employee attendance in the time &attendance machine, prepare and circulate monthly attendance reports.
- Tracking and updating motor vehicle licence for all company vehicles to ensure they are renewed on time.
- Other duties /responsibilities as assigned from time to time.
Qualifications and Experiences:
- Diploma or Degree in Human Resources Management/Administration & Financial and Business Administration.
- Two- or three-years’ experience in the same field.

- Computer knowledge especially in handling payroll systems.
- Good communication skills.
