[What the role is]
This is a Manager-level matrix role supporting Group Director (GD)/ Corporate services Group (CSG) and Strategy & Transformation (S&T) across corporate coordination, leadership engagement and strategic planning. The officer will serve as a key coordination point for Corporate Services Group (CSG) and Group Director’s Office (GDO)/workplanning matters, support defined CEO Office leadership engagements, and coordinate strategic planning and workplan monitoring activities across the organisation. The role requires strong coordination, writing, stakeholder management and planning skills, with the ability to work across multiple reporting lines and manage competing priorities.[What you will be working on]
1. GD/CSG Support and GDO Coordination - 45%
- Executive / PA support (20%): Provide PA and executive coordination support to GD/CSG, including meeting and calendar management, and provide agreed backup coverage for the CEO’s PA when required.
- CSG governance and secretariat (10%): Facilitate weekly CSG Ops coordination/circulation and serve as secretariat for the monthly CE-CSG meeting, including follow-up tracking where required.
- CSG leadership engagements (10%): Coordinate CSG Townhalls (approximately twice yearly), including programme and logistics coordination and preparation of GD talking points and CSG workplan/achievement materials. Organise GD/CSG tea sessions as directed.
- CSG GDO / general coordination (5%): Serve as the CSG GDO liaison, coordinating with GD/CSG and CSG Directors on cross-cutting requirements and supporting the annual CSG Workplan Retreat as directed.
2. Board Governance & Leadership Engagement - 20%
- CEO Tea Sessions (10%): Coordinate and support approximately four CEO Tea Sessions annually, including participant coordination, logistics, briefing materials, minutes and follow-up.
- CSR / staff engagement (10%): Plan and coordinate assigned CSR and staff engagement activities, working with S&T/OD and relevant corporate functions on programme and logistical support.
3. Strategic Planning & Transformation - 35%
- CSG workplanning (15%): Coordinate CSG’s annual workplanning exercise by engaging CSG Directors, consolidating workplan submissions, identifying cross-cutting issues, and preparing materials for GD/CSG clearance.
- Workplan monitoring and progress reporting (10%): Coordinate approximately two CSG workplan progress reviews annually; consolidate progress, achievements, issues and areas requiring management attention, and support reporting into HSA-level planning processes.
- S&T planning and budget coordination (5%): Coordinate the annual S&T budget exercise by consolidating requirements from S&T Deputy Directors, facilitating Director clearance and submitting requirements through budget planning system; support other periodic corporate planning exercises as required.
- HSA events and trips forecast (5%): Compile and maintain the monthly HSA events and trips forecast for EXCO+ and PSSM, coordinating inputs and working with S&T officers for review and vetting.
[What we are looking for]
- Relevant qualifications in Public Policy, Business Administration, Health Sciences, Communications, or a related discipline; typically 4-6 years of relevant experience in corporate planning, strategic planning, governance/secretariat, stakeholder coordination, executive support, or a related field.
- Core competencies: Strong project management and coordination skills, with ability to manage multiple workstreams and deadlines concurrently.
- Communication and stakeholder management: Strong written and verbal communication skills, including ability to prepare high-quality briefing materials, presentations and correspondence for senior audiences; strong interpersonal and stakeholder management skills.
- Working style: Ability to work across multiple reporting lines, operate with discretion, manage competing priorities and adapt to shifting organisational requirements.
- Advantageous: Prior public sector experience; familiarity with Singapore’s health/public health ecosystem; experience in corporate planning, transformation, change management or leadership engagement; experience supporting senior management or governance forums.
The successful candidate will be offered a 1-year contract (with option for automatic renewal for a further one year) in the first instance.
