Description
Responsible for performing a range of administrative duties necessary to support administration and operations of the Human Resources and Risk Management, including managing personnel records retained by the Human Resources department.Essential Functions
- Answers phones and routes callers to appropriate source; responds to general inquiries as needed; provides general information to employees and citizens. Assists with the daily administration of the Department such as opening and routing mail, making and distributing copies of departmental documents, and performing receptionist duties
- Greets internal and external customers in-person and assist them as needed
- Assists the Talent Acquisition team by verifying documents presented for appointments and making copies
- Maintains records to include preparing, processing and auditing documents into the City’s digital imaging system including personnel documents, employee and retiree benefits, liability, workers’ compensation, secondary employment forms, subrogation claim files, and departmental processes documentation
- Acts as the Department’s Timekeeper – records leave time usage and files payroll paperwork for the department bi-weekly
- Coordinates new hire paperwork to ensure accuracy and completion of paperwork, i.e., I-9 compliance
- Conducts employment verifications and assists in Open Records Requests
- Creates new employee ID/access badges and ensures delivery to the new employee
- Creates the employee records backup for essential personnel monthly
- Works with Procurement to set up new vendors as needed
- Prepares purchase requests, deposits, receiving reports, check requisitions, change orders, and receivables
- Acts as the primary account representative/contact for the Department’s e-fax solution to include payment of invoices in a timely manner, ensuring staff has appropriate access, and ensures receipt of faxes to appropriate personnel
- Coordinates with employees and maintains accurate documentation, agreements, forms, and reports for the City’s Tuition Reimbursement Program
- Coordinates, plans, and books employee conferences for the Department, to include approval of the conference, conference registration, hotel accommodations, flight arrangements, travel advances, mileage reimbursement, assistance with expense reports upon return, and other travel/conference related requests as needed
- Maintains regular and punctual attendance both in-office and remotely
- Assists other Human Resource staff members with various HR related issues
- Performs a variety of delegated research, tasks, and projects; prepares reports or other materials as required; documents and presents findings upon completion
- Assists with special projects/events such as Employee Appreciation Day, Annual Service Awards Banquet, Seasonal Hiring Events, and/or Benefits and Wellness Fair as needed, may also serve on committees
- Coordinates deliveries for the office such as water deliveries and scheduling shredding through the appropriate vendors
- Must adapt to changing priorities and show a willingness to perform other duties as assigned

- High school diploma or GED equivalent
- Three years’ experience working in customer service-oriented office environment
- Proficiency with Microsoft Office including Word and Excel
- Outstanding written, verbal, problem solving, and organization skills
- Any combination of related education, experience, certifications and licenses that will result in a candidate successfully performing the essential functions of the job
- Ability to respond to complaints and accusations in a professional manner that addresses the complainant’s concerns without compromising the City of Denton’s liability or reputation
