Manager - Administration

## What you’ll do:

Manager - Administration will be an experienced and dynamic professional who will lead Security Operations, Administration, and External Liaison activities for our manufacturing facility. This role will be responsible for ensuring a secure, compliant, and efficient workplace while serving as the primary interface with government authorities, regulatory bodies, service providers, and key stakeholders.The ideal candidate will combine strong security management expertise with proven administrative leadership, stakeholder engagement skills, and a customer-focused approach.

"Security Operations

• Lead end-to-end plant security operations including access control, CCTV surveillance, visitor management, incident response, and investigations.
• Manage deployment, training, performance, and compliance of contract security personnel.
• Conduct security audits, risk assessments, and implement corrective and preventive actions.
• Develop and maintain security procedures, emergency response plans, and crisis management protocols.
• Ensure effective traffic, vehicle movement, and parking management across the facility.
• Act as the primary point of contact with Police, Local Administration and Law Enforcement agencies.
• Coordinate statutory inspections, permits, licenses, renewals, and compliance-related activities.
• Build and maintain strong relationships with local authorities, industry associations, and community stakeholders.
• Support VIP visits, customer audits, and external delegations.

Administration & Employee Services

1\. Oversee housekeeping, gardening, pest control, canteen, pantry, drinking water, and employee welfare services to ensure high service standards.

2\. Manage transport operations including employee buses, operator transportation, guest logistics, airport transfers, and travel support.

3\. Oversee operation and maintenance of common facilities including OHC, crèche, sports arena, operators' rest areas, and parking facilities.

4\. Manage scrap disposal activities through authorized agencies, ensuring statutory compliance and retention of sustainability certifications such as ZWTL and ZWD.

5\. Conduct regular facility inspections and service audits to ensure compliance with safety, quality, and workplace standards.

6\. Monitor seating allocation, workspace planning, furniture, fixtures, and facility infrastructure requirements to support future growth.

Vendor, Commercial & Budget Management

1\. Manage security, housekeeping, transport, canteen, pest control, and other facility service contracts from onboarding to closure.

2\. Monitor vendor performance through SLAs, KPIs, audits, and governance reviews to ensure contractual compliance and service excellence.

3\. Handle RFQs, PRs, PO coordination, invoice processing, vendor creation documentation, and payment follow-ups with Procurement, Finance, and AP teams.

4\. Prepare annual operating budgets, monthly provisions, expense forecasts, and management reports while ensuring effective cost control.

5\. Manage asset tagging, inventory controls, lifecycle management, and record maintenance for facility-related assets.

## Qualifications:

Any Graduate

15+ years of experience in Security, Administration, Facility Management, or Industrial Operations.

## Skills:

"Proven experience managing security functions within a manufacturing or industrial environment.

Experience liaising with government departments, law enforcement agencies, and regulatory authorities.

Strong understanding of risk management, compliance, vendor governance, and workplace operations.

Excellent communication, stakeholder management, negotiation, and leadership skills.
