Description
The Record Management Associate will primarily be in charge of managing and maintaining all organizational records according to the established protocol. The selected candidate will hold a key position in ensuring that all information is correctly categorized, stored, and easily retrievable for future use. Reporting directly to the Record Management Officer, you will assist in the design and implementation of a record management system that aligns with the organizational goals and regulatory requirements. Key Responsibilities: Manage, organize, and maintain documents, adhering to the company's document lifecycle procedures, and archive inactive records in accordance with the records retention schedule. Implement and use electronic document management software tools for the deft tracking and management of records. Facilitate the migration of records from paper format to electronic format, ensuring full compliance with the company’s policies and legal requirements. Ensure secure and accurate storage of electronic and physical records, as well as proper disposal of obsolete records. Conduct and oversee regular audits to ensure that the information on file is accurate and up to date. Collaborate with teams across the organization to assess and fulfill their record-keeping needs. Provide training and guidance to staff regarding new systems or policy changes related to record management. Qualifications: A degree in Records Management, Information Management, Library Science, or a related field is required. At least two years of professional experience in record management, preferably in a non-profit organization. Proven knowledge of records management principles, methodologies, and techniques. Excellent research skills teamed with an ability to manage and present large amounts of information. Proficiency in using Microsoft Office Suite and document management software. Strong attention to detail and a high degree of accuracy. Excellent organizational capability and the ability to maintain concentration amidst interruptions and adjust priorities quickly.
