Description
Established early-stage venture capital firm is looking for an Executive Assistant to support two Partners, with responsibilities spanning EA support, event coordination, and light office management out of their San Francisco office. In this role, you'll manage calendars, inboxes, travel, and expenses, while also helping coordinate firm events and dinners and keeping the day-to-day of a small office running smoothly. Someone who is highly proactive, comfortable managing up, and brings a genuine do-whatever-it-takes attitude, someone who doesn't need to be chased to get things done and can hold their own with senior stakeholders across the firm. This is an in-office role, 5 days/week, based in San Francisco, with occasional evening availability for firm events. 100-130K DOE + full benefits and 401K.
Responsibilities:
- Manage the Partners' calendars, scheduling, and inboxes, exercising judgment to prioritize and reprioritize on the fly.
- Coordinate all travel logistics and process expenses in a timely, organized manner.
- Own day-to-day office management for a small San Francisco office, including ordering daily team lunches and keeping the space organized and presentation-ready.
- Plan and execute firm events and dinners, from sourcing venues to managing guest lists and on-the-ground logistics, staying through completion when needed.
- Act as a proactive partner to the Partners, anticipating needs and managing up rather than waiting for direction.
- Collaborate with another EA on the team to ensure coverage and consistency across the firm.
- Previous experience in an EA, office manager, or executive support role, ideally within venture capital, startups, or a fast-paced professional services environment.
- Comfortable managing up and holding senior stakeholders accountable, with the confidence to proactively flag what's needed rather than waiting to be asked.
- Highly proactive and self-sufficient, with the ability to work independently in a small office setting, including days without other staff present.
- Strong organizational skills and impeccable attention to detail, particularly when it comes to hosting and presentation.
- Comfortable with a hospitality mindset, willing to stay through the completion of firm events and dinners when needed.
- Adaptable and flexible, with the ability to work well with multiple stakeholders and personalities.
- Excellent written and verbal communication skills.
- Proficient with standard workplace and productivity tools; familiarity with AI tools is a plus.
